IMPORTANT: DO NOT PROCEED WITH BOOKING IF YOU DISAGREE WITH ANY OF THE FOLLOWING POINTS. OUR GOAL IS TO PROVIDE TRANSPARENT AND ETHICAL SERVICE WITHOUT ANY HIDDEN TERMS.

1. I acknowledge and agree to the following Terms and Conditions, having printed a copy for my records.

2. I agree to bring my car to either of the following premises which i will choose when booking an appointment :

   • 2 Verbena Drive, Littleover, Derby, DE23 2HS

3. A charge of £35 incl VAT will apply if we are unable to re-gas your car due to a significant leak or fault. The full-service price will be charged upon re-booking.

4. Ensure that AC ports are easily accessible. Some Electric cars (Tesla and BMW i3) may require plastic cowlings removal before the appointment. We are not insured to perform this task.

5. We are VAT registered and will issue a VAT Invoice by email.

6. Notify us on the service day if you do not want the free antibacterial treatment.

7. I understand that some cars' Air Conditioning may not function below 10 degrees Celsius.

8. We offer a free Nitrogen Pressure Test as part of the full service; otherwise, a charge of £35 incl VAT applies for the Nitrogen Leak Test only.

9. Payment methods accepted: cash or card.

10. Koolcar is not liable if Leak Sealer Additives do not fix leaks. No guarantees are provided for the Extreme Sealer's effectiveness, but will fix 90% of leaks found.

11. UV Dye will only reveal leaks after the gas has escaped, not during the service.

12. For cars with a rear evaporator, we cannot check pipes under the vehicle for leaks.

13. We can only check visible components for leaks; therefore, small unseen leaks may not be detected.

14. No guarantees are offered due to the unpredictable nature of AC systems. Read more about leaks by clicking here

15. Customers must wait while their car has the AC service. Only takes 30 minutes.

16. CCTV is in operation at our premises, and servicing may be recorded.

17. If AC does not work post-service, leave gas for a few days. Full refund offered if it still does not work; must notify us within 14 days

18. By booking online, you agree to receive promotional material; you can unsubscribe at any tim

19. If you fit any parts yourself and a leak is found we charge £35 for an appointment and nitrogen test.

20. Do not request anti-bacterial treatment if you are sensitive to fragrances.

21. Koolcar is a subsidiary of Staykool, and invoices will be sent under the name of Staykool. 

22. While advanced leak detection is used, a slight possibility of undetectable leaks exists. Koolcar cannot be held responsible for leaks; no leak guarantees are offered

23. A £15 no-show fee applies if not notified 24 hours prior to the appointment or canceled online.

24. If your AC does not work, we will determine the source of the problem and advice the cheapest solution.

25. Once a customer, future services are offered at £25 incl vat plus the cost of gas from October to March

26. Do not arrive without a booked appointment.

27. Confirm that the bonnet release and interior fans are working correctly.

28. Nitrogen leak testing and ultrasonic testing identify 95% of leaks; however, we cannot guarantee no leaks post-re-gas. A £35 incl vat charge applies for a leak test appointment if a leak is detected.
